Why Screenshots Need Source Labels in AI Case Files

A screenshot without source, date, and context can mislead both models and analysts.

Screenshots appear in many supplier files: licenses, marketplace pages, bank messages, certificates, product listings, and web claims. AI can read them, but the case loses value when nobody records where the screenshot came from.

Label each screenshot with source, capture date, page or sender, and why it was saved. A marketplace profile from discovery, a supplier-sent license image, and a buyer-captured website footer carry different weight.

Ask the model to extract fields and preserve the label. The output should say the company name came from a supplier-provided screenshot, not from an official record check unless that is true.

Screenshots age quickly. A website can change, a listing can disappear, and a supplier can update a profile. A dated screenshot helps the analyst understand which claim existed at the time of decision.

Poor labels create false confidence. The file may contain evidence, but the reviewer cannot judge its strength without knowing the source.

Working checklist

  • Record source and date.
  • Label supplier-provided screenshots.
  • Separate screenshots from official records.
  • Preserve page context.
  • Refresh stale screenshots before repeat orders.
